A notice was recently distributed to the campus community, sharing information relating to the upgrade of the Online Position Description and Recruiting System, coming in January, 2016.  To communicate specific information relative to the Forestry, Oceanic and Atmospheric Business Center (FOBC) and those units served by the FOBC, please review the detailed information below.

On Tuesday, January 26, 2016, OSU will be upgrading the Online Position Description and Recruiting System.  This system is currently used to manage position descriptions, recruitment activities, posting of vacancies, and hiring of academic, research and professional faculty, represented temporary and regular employees, and student employees.

To prepare for this upgrade, the FOBC HR Team wishes to provide additional detailed information to you, in an attempt to minimize potential interruption of your recruiting/hiring needs during the implementation and transition period.

How will this upgrade impact your current or new recruitments/postings?

During the implementation and system upgrade period, the old system will be inactivated for a period of time in January, 2016, prior to the activation of the new system.  During the period of inactivation (“suspension”), FOBC HR personnel will be unable to initiate new recruitments or position description updates within the system.  During the “suspension” period, positions already approved for posting will proceed within the current system, through completion of the recruitment and hiring process.  However, unposted, pending positions will be eliminated, requiring that the action be re-initiated in the upgraded system, once it has been implemented and activated on January 26, 2016.

How can you assist in minimizing impact to your new recruitments/postings?

  • If your position must be posted prior to January 26, 2016, please initiate a request for recruitment prior to 12/30/15.
  • In consideration of personnel absence over the holidays, please allow additional time when initiating recruitments requiring additional approvals (i.e., waiver of the competitive search process, international searches).  We recommend initiating the request prior to 12/18/15.
  • Please provide prompt responses to FOBC HR requests for additional information or clarification relating to pending recruitments, to provide an opportunity to move actions forward prior to the inactivation period.

What else can you do to assist in this transition?

  • We ask for your patience.  The FOBC HR team will do our best during the upcoming holiday/leave period, to complete all pending actions prior to the “suspension” period.
  • Please continue to submit your recruitment requests during the “suspension” period, as the FOBC HR team can still complete preliminary steps and prepare for entry, once the new system is activated.

Many thanks to you, for your assistance during this upgrade process!  We wish you and yours a wonderful holiday season!
